A photo checklist is a saved set of shots for work you do often. Attach one when you create a job, and that job keeps its own copy of the shot list.

Before you start

Only the owner, admins, dispatchers and office staff can create or manage saved photo checklists. These roles can attach checklists when creating a job or to an open existing job.

Techs and contractors need an open clock entry on the job or a clock-in from today in NZ time to add photos.

Create a saved checklist

  1. Open Settings, then select Photo checklists under Work and team.
  2. Under New checklist, enter a Checklist name.
  3. Select Add shot. For each shot, enter a Shot name and, if useful, a Hint. Select a Stage, set Photos needed, and leave Required ticked if you want completion warnings to include that shot.
  4. To add a reference image, select Add example photo. You can replace it later with Change example photo.
  5. Select Save checklist.

The Stage options are Before, During, After and Any. In the job checklist, the Any group appears as Any time. Photos needed sets how many photos belong to that shot, from one to ten.

Attach a checklist to a new job

  1. Open New job and fill in the job details.
  2. Under Photo checklists, tick each saved checklist to copy its shots to the job.
  3. Finish the other required details and select Create job.

Only active saved checklists appear here. If none are available, the form says No active photo checklists. Create one in Settings.

Each job keeps its own copy. Editing or archiving the saved checklist later does not change the shot list on jobs that already use it.

Attach a checklist to an existing job

  1. Open an unarchived job that is not finished, then open Work and Photos.
  2. In Photo shot list, tick one or more active saved checklists under Add a checklist.
  3. Select Add selected checklists. Their shots are added after the job's existing shots.

The job keeps its own copy. Editing or archiving the saved checklist later does not change the shots already added to the job.

Edit the shot list on a job

  1. Open an unarchived job that is not finished, then open Work and Photos.
  2. In Photo shot list, edit a shot and select Save shot, or use Add a shot to add one.
  3. Use Move up or Move down to change the order. Select Remove shot to remove a shot that has no live photo attached.

The job's shot list is separate from the saved checklist. Changes here apply to this job only.

Fill the photo checklist

  1. Open the job, select Work, then go to Photos. Jobs with a shot list show the photos grouped by stage. Each shot can show a hint and example photo.
  2. Under a shot, select Take photo to use the camera or Choose from library to pick an existing image. The Photos X of Y heading counts filled shot slots out of the total slots on the job. Photos queued on this device count as filled here. A required shot that still needs photos is marked Missing.
  3. To replace a photo, select Replace below it, then take a new photo or choose one from the library. After the new photo uploads, the earlier photo stays under Extra with the note Replaced.
  4. To add a photo outside the shot list, enter a Note under Add extra photo, then take a photo or choose one from the library. The note can be up to 140 characters.

Only photos with a note appear in the checklist's Extra group. Photos with no shot and no note, including photos added from New job, stay in the job gallery below the checklist. Photos added from New job do not go through the checklist quality check.

Photo quality check

When you take or choose a photo for a shot or an extra, the app checks it before upload. A photo that passes shows Good photo and continues to upload.

If a check finds a problem, the message explains what to try:

  • “Blurry. Hold steady and retake.”
  • “Too dark. Turn on the torch or get closer to the light.”
  • “Glare is hiding detail. Change your angle and retake.”
  • For a duplicate, the message names the shot with the matching photo. For example, “Looks the same as 'Before'. Retake, or replace that one?”

For a camera photo, select Retake or Choose a different photo. For a library photo, select Choose a different photo. After two failed checks for the same shot or in the extra photo flow in one sitting, Use anyway appears. Enter a reason of 1 to 140 characters before selecting it. A job manager sees Low quality with that reason beside the saved photo.

If you see Saved on this device. It'll upload automatically when you are back online., the photo is waiting in the offline queue. Photos with a note appear as Extra and show that note. Photos with no shot and no note stay in the gallery below the checklist.
