Edit a job from the Edit tab

Change a job's schedule, crew, budget and other key details in place from the Edit tab, and pin the fields you change most.

On this pageBefore you start

The Edit tab lists a job's main details as rows: title, customer, schedule, crew, budget and more. Select a value to change it where it sits, then save. Pin the rows you use most and they stay at the top.

Before you start

Owners, admins, dispatchers and office staff see the Edit tab, and an open job opens on it. An open job is one that is not archived and is not Completed, Ready to invoice or Invoiced. A finished or archived job has no Edit tab and opens on Overview. Site supervisors, techs and contractors never see the tab; every job opens on Overview for them.

Everyone who has the tab sees all the rows, except Private notes, which only the owner and admin see.

Edit a field

  1. Select the value on the row you want to change, then change it.
  2. Select Save. On the Site row, select Save site.

To leave without saving, select Cancel (for Site, close the panel with the X at its top right).

Most rows are plain fields: Title, Scope of works, Description, Priority, Due date, Follow-up date and Trade. Some rows need more than a typed value:

  • Schedule: the start date, the start time and an optional end date. Save stays unavailable while the end date is before the start. Clear appears only on a booked job. It removes the booked dates and saves straight away, with no confirmation. For a New job whose safety documents are not yet approved, the row shows "Date saved. This job stays in New until an owner approves its safety documents." See Job safety documents and owner approval.
  • Crew: search with Search people, then tick the people on the job. For someone working part of the job, set From and To. Choose the Team leader, then select Save. Select Show office staff to see the office people who are hidden. The button shows how many there are.
  • Projected dates: a rough projected start and end, kept until the booking is confirmed. The row cannot be opened while the job is Scheduled.
  • Site: opens the Set site panel. Choose one of the customer's sites and select Save site, or select Add a new site. Remove site takes the site off the job.
  • Site contact: the contact's name and phone number.
  • Customer: moving a job to another customer clears its Site, turns off Share photos with the customer (see Share a job's photos with your customer), and resets the job's report recipients to the new customer's defaults. Select Site afterwards to choose one of the new customer's sites.
  • Private notes (owner and admin only): the row cannot be opened when ONYX1 Office or the system wrote the note.

The budget line

Enter the budget in dollars, excluding GST, in Budget ex GST. Leave the field blank and select Save to clear it.

The row reads as the cost so far, then "of" the budget, then "used", with the percentage in brackets. The cost so far is the Cost so far figure on the job's Money tab; see Payroll and costing. Labour counts once timesheets are approved. Once the cost is over the budget, the row also shows the amount over, in red. A job with no budget shows "No budget set".

Pin a field

Each row has a pin button at its right-hand edge. Select it to pin the row. A pinned row moves to the top of the tab, under Pinned, in the order you pinned it. Every other row follows under Other fields. Select the pin button again to unpin the row, and it returns to its usual place.

Your pins are saved to your account, so they follow you to every device. Nobody else sees them. If a pin cannot be saved, your pins go back to how they were, and a message appears above the rows for a few seconds.

If a save is refused

When a save is refused, the message appears under the editor. The field goes back to its saved value and the editor stays open. You may see:

  • A budget that is not a plain amount, has more than two decimal places or is over ten million dollars. It shows one message asking for a budget in that range.
  • "Couldn’t update the job." or "Couldn’t update the schedule." Nothing was saved. Try again.

If the job was finished while you had it open, you will see "This job is finished. Reopen it from More to make changes." See Job statuses to reopen it.

Where the other editors still are

The Edit tab does not replace the older editors, which still work:

  • Edit details on Overview opens the full job form, including the customer sign-off rule.
  • Set site and the private notes box are also on Overview. The notes box is for owners and admins.
  • Edit schedule and Edit crew are on the Work tab, under Schedule and crew. For more on booking and crew, see Schedule jobs and assign crew.
