Job statuses

What each of the eight job statuses means, who can set which one, and how a job moves between them.

A job moves through eight statuses. New, Scheduled, On site, Pending and Incomplete are working states. Completed marks finished work. Ready to invoice and Invoiced are billing states with their own rules. Paid is an invoice milestone shown on the lifecycle, not a ninth job status.

The eight statuses

  • New: created, not yet booked in.
  • Scheduled: has a booked start date.
  • On site: the crew is on it.
  • Pending: waiting on something, for example parts. (Internally called awaiting_parts.)
  • Incomplete: started but not finished.
  • Completed: the work is done.
  • Ready to invoice: cleared for billing.
  • Invoiced: an invoice has been raised against it.

Moving between them

The owner, admins, dispatchers, office staff and site supervisors can move an open job between the working states. Technicians and contractors cannot change a job's status directly.

Completed is finished. Eligible office users can move it forward to Ready to invoice, but the job's schedule, crew, team leader, projected start and report-start controls are read-only while it is finished.

Ready to invoice and Invoiced are different:

  • A job can only reach Ready to invoice from Completed, and only the owner, admins, dispatchers and office staff can move it there. Site supervisors cannot, even though they can move a job through every other status.
  • If the job requires the customer's sign-off and none has been captured yet, moving it to Ready to invoice is blocked until the sign-off is recorded.
  • Invoiced is reached only by raising an invoice against a Ready to invoice job, which ONYX1 does automatically.
  • To make a finished job editable again, open More in the job header. Reopen job moves a Completed or Ready to invoice job to On site. Reopen to Ready to invoice is available for an Invoiced job only when it has no live invoice. The invoice must have been voided, and the job needs invoicing again.
  • A job cannot move to Scheduled without a booked start date: ONYX1 shows Book a start date before moving this job to Scheduled.

Clocking in on a Scheduled, Pending or Incomplete job moves it to On site automatically. It moves back to whatever it was before once the crew lead files that job's End-of-Day report for the day, unless someone has since changed it by hand. It also stays On site if its schedule date has been cleared since, or if it needs an owner's safety-document approval that hasn't happened yet.

On the job page

The job header shows one inline lifecycle track: Quoted, Scheduled, On site, Completed, Invoiced and Paid. On site includes the current progress percentage. Pending and Incomplete remain real job statuses, while the track keeps them at the On site point. The primary next move is shown beside the header when your role has one to make; it's left out rather than shown as unavailable. On a Ready to invoice job, office roles see Raise invoice there instead, and finished-job recovery is under More. Work contains the Schedule and crew summary instead of a second lifecycle control.
