The price book

Keep a reusable list of priced labour, materials and services in Settings, and add them to quotes in one select.

The price book is a list of items you quote often, labour rates, materials and services, with their cost, sell price and margin. Add an item to a quote or invoice in one select instead of typing it out each time. It lives in Settings, under Sales setup, and it is on every plan.

Before you start

The price book is open to owners, admins, dispatchers and office staff. Cost and sell prices reveal margin, so technicians, site supervisors and contractors can't open it. Owners and admins find it under Settings. Dispatchers and office staff don't have Settings in their menu; they open the price book from Finances → Price book, if your workspace has the Finances module, or from the From price book picker on a quote. The rest of Settings stays with owners and admins.

Add an item

  1. Open Settings, then Price book (or Finances → Price book), and select Add item.
  2. Enter a Name.
  3. Choose a Type: Labour, Material or Service.
  4. Enter a Unit (optional), such as "hour", "m" or "each".
  5. Enter Cost, ex GST and Sell, ex GST. Leave either blank to treat it as zero.
  6. Once you enter a sell price, ONYX1 shows the margin and the profit you'd make on each item.
  7. Add a Description (optional), then select Save item.

Find your way around the list

The list shows each item's type, unit, cost, sell price and margin, all ex GST. Use the chips above it to show All, Labour, Material or Service items; each chip shows how many there are. Margin under 15% is marked in amber so you can see which items need a price rise.

Edit, archive and restore

Select the pencil on an item to change it in a panel, and the box icon to archive it. Archiving takes an item off the quote picker without losing its history. Archived items are hidden until you tick Show archived; there you can restore one at any time. There's no way to delete an item outright. Changing a price here does not change quotes you have already sent.

Use it on a quote or invoice

Building a quote, editing one, or invoicing a job directly, look for From price book above the line items. Pick an item and it adds a line with its name, a quantity of 1 and its sell price, ready to edit like any other line. Later changes to the price book don't change lines you've already added; each one is a copy.

Price book prices are entered ex GST. On an invoice, use the GST setting on that line-items editor to say whether your entered prices already include GST.

If something goes wrong

  • The price book doesn't open, you land back on Home: your role doesn't have access.
  • Enter a name.: the Name field is required.
  • Couldn’t add the item. or Couldn’t update the item.: try again; if it keeps happening, check your connection.
