Bring website enquiries into Leads

Connect your website or share a hosted form so new enquiries become leads with notifications and, when ONYX1 Office is on, preparation by your chosen role.

Website enquiries brings messages from your website into Leads. You can connect an existing form or share an ONYX1 hosted form, then choose who gets notified and, if ONYX1 Office is switched on, which Office role prepares each new lead.

Before you start

  • Only the owner and admin can change these settings.
  • Your workspace needs the Sales pipeline module. See Plans and what each includes.
  • Have a secure HTTPS link to your business privacy statement ready before you turn enquiries on.

Set up website enquiries

  1. Open Settings → Website enquiries.
  2. Add your privacy statement address in Privacy statement link. The hosted form links to this statement and explains how the business uses an enquiry.
  3. Under Who else should be notified?, choose anyone else who should be told. The owner and admins are always notified.
  4. If ONYX1 Office is available, choose an Office role under Office team member. The default is Sales & Marketing Coordinator. The person mapped to that role in Settings → ONYX1 Office prepares each new lead.
  5. Tick Turn on website enquiries and select Save settings.

The first save creates a Website connection, with a Connection URL, and shows a Secret code once. Copy both straight away and keep the code somewhere private. Saving again hides the code. Give both to the person who maintains your existing website form so that their server can send enquiries to the Connection URL. If you lose the code, select Rotate secret code, copy the new one and update the website. The old code stops working when it is rotated.

Share the hosted form

Copy Hosted form link and add it to your website, or copy Embed snippet and ask your website maintainer to place it on a page. The snippet shows the form inside your page. People can enter their name, contact details, business name, service and site address or suburb, then describe what they need. They must agree to the business using their details to respond.

The form says the business uses ONYX1 to receive the enquiry and links to the business's privacy statement. It also explains that, if the business uses ONYX1 Office, its AI office team reads the enquiry to prepare a summary. If the owner has connected Microsoft 365, ONYX1 Office may prepare a reply draft in the owner's own mailbox. A person reviews the draft before sending. The form asks the person to agree to this use of their details.

What happens next

A clean enquiry creates its own lead at New with source Website. If an enquiry from the last 24 hours has the same email address or phone number, ONYX1 marks the new lead as a possible duplicate and links to the existing lead. The owner or an admin can review the link and decide what to do. ONYX1 does not combine the leads or change the existing lead automatically. Obvious spam is kept as spam and does not create a lead or notification.

The owner, admins and any extra people you selected receive a grouped notification at most once every five minutes. It summarises how many enquiries arrived and includes any possible duplicate. If ONYX1 Office is switched on and the chosen role has a mapped team member, Office prepares the new lead with a service, value when there is enough information, follow-up date, summary and suggested next step. A person reviews the lead and makes contact. When Office finishes preparing a lead, the owner and admins also get a Ready to call notification. If your workspace reaches its hourly Office triage limit, the enquiry still creates a lead and is notified, and Office does not prepare it. The Website enquiries export shows its triage status as skipped_busy. If the owner has connected Microsoft 365, Office may save one reply draft in the owner's own mailbox. A person reviews and sends it.

Select Send a sample enquiry to confirm the settings saved. The sample creates no lead and sends no notification. It does not test the website connection or the hosted form, and it does not appear in Leads or in the export.

If something goes wrong

  • If you cannot save while enquiries are on, check that your privacy statement link uses HTTPS.
  • If an existing website stops sending enquiries after you rotate the code, update its saved Secret code.
  • If Office does not prepare a lead, check that ONYX1 Office is switched on and the selected role has a mapped team member.
  • If visitors see Please wait a moment and try again, the form has reached a burst limit. Your website connection and hosted form together accept up to 15 submissions an hour, and each accepts up to 3 from one IP address every 10 minutes.
