Public holidays and company holidays

Pick your public holiday region, publish company holidays such as a Christmas shutdown, and see how holidays affect timesheets, leave and Planner.

ONYX1 knows the public holidays for New Zealand and each Australian state, so they show on timesheets and Planner, and leave day counts skip them, without anyone typing them in. Company holidays are days off your business gives on top, such as a Christmas shutdown or a team day, published by the owner or an admin for staff to claim.

Choose your holiday region

Only the owner and admins can change these settings.

  1. Open Settings → Payroll & costing and find the Public holidays card.
  2. Under Holiday region, choose your region. In New Zealand, pick the anniversary day your team follows, or None · national holidays only. In Australia, pick your state or territory.
  3. Select Save region.

The card lists Public holidays for the next 12 months for the region you saved. Every business starts on None, so a New Zealand business sees national holidays only until it picks a region.

ONYX1 shows the date a holiday is observed. When Christmas Day falls on a Saturday in New Zealand, for example, the Monday after is shown as the holiday.

How public holidays show

The timesheet and penal rules below apply to staff who submit timesheets. Contractors and people exempt from timesheets don't get holiday labels on their timesheets or the automatic penal mark.

  • Timesheets: a public holiday is labelled with its name on the day, and a day with no hours on a public holiday is not chased as a missing day.
  • Working a public holiday (New Zealand): time recorded on a public holiday is marked penal automatically, including the actual Saturday or Sunday of a holiday that moved to a Monday. The day shows "Worked a public holiday. A day in lieu may be owed." ONYX1 does not keep a day in lieu balance. This happens even if you leave the penal box unticked when you use Add a line. If a line was marked penal by mistake, select Fix while the week is still a draft and untick Penal time (public holiday / weekend), paid at a higher rate.
  • Leave: public holidays don't count towards the days in a leave request.
  • Planner: public holidays and published company holidays are shaded and labelled for the whole business.

Publish a company holiday

Only the owner and admins can publish, edit or delete company holidays. Company holiday days don't use anyone's annual leave.

  1. In the Public holidays card, go to Add company holiday.
  2. Enter a Name, such as "Christmas shutdown".
  3. Choose the Kind:
    • On these dates only: the days can only be taken on the published dates, such as a team day.
    • Can be taken later: staff who work through can take the days later, such as a shutdown some of the team works.
  4. Choose the Start date and End date. The range can cover up to 31 days.
  5. Choose when applications close. For On these dates only this is Closes on, on or before the last published date. For Can be taken later it is Use by, after the last published date and within 12 months.
  6. Select Publish company holiday.

The number of days is the weekdays in the range, less any public holidays. Each person can claim up to that many days. The list under Company holidays shows the dates, the days, the kind, the closing date and how many people have applied.

Select Edit to change a company holiday. ONYX1 refuses a change that would move someone's approved days outside the new dates or leave them with more days than the holiday now gives. Delete works only while nobody has applied.

Claim company holiday days

  1. Open Leave.
  2. Under Request leave, choose Company holiday as the type. It appears only while a company holiday is open for applications, and only for staff who submit timesheets; contractors and people exempt from timesheets can't claim company holidays.
  3. Choose the holiday under Company holiday.
  4. Choose the From and To dates, then select Request leave.

A valid request is approved straight away; nobody needs to review it. ONYX1 refuses a request outside the allowed dates, after applications close, or for more days than you have left. Company holiday requests are for whole days only.

Under Company holiday days, Leave lists each company holiday with the days you've taken, such as "Taken 2 of 4 days", including holidays where you've taken none. Once applications close, days you didn't claim lapse and show as, for example, "2 days lapsed". Nobody can apply after closing, including the owner and admins.

Your approved company holiday days are labelled with the holiday's name on your timesheet and aren't chased as missing days. A company holiday doesn't make work that day penal on its own. A line can still be penal if the day is also a public holiday or someone ticks the penal box.
