Certifications and qualifications
Track certificates, PPE, vehicle compliance dates and plant in one register, with expiry due dates.
On this pageWhat you see
The Compliance register tracks anything with an expiry or a recheck date: certificates and tickets, PPE inspections, vehicle WOF or service dates recorded here, and plant. Everyone can see their own; the office manages the whole register.
What you see
- The owner, admins, dispatchers, office and site supervisors see the full register, titled Compliance and assets. A line above the title counts the items and how many are expired or due in 30 days.
- Everyone else sees My qualifications: their own certificates, PPE and any gear issued to them, with expiry dates, but cannot add or change anything. Tell the office if something here is wrong or missing.
The list shows the most urgent first. Each item shows its type (Certificate, PPE, Vehicle or Plant), who holds it, its due date and a status. Expired is solid amber, Due soon (within 30 days) is light amber, Valid is grey and No date is an outline.
Find an item
Use the buttons above the list to show one type, or Needs attention for everything expired or due soon. The Everyone menu narrows it to one person, and the search box finds a name, a tag, a rego or a person. On a phone the list is grouped as Expired, Due in the next 30 days, Valid and No due date, and selecting an item opens its details at the bottom of the screen.
Add or edit an item
- Open Certifications from the menu (My qualifications if you're not in a business or ops role).
- Select Add item. The form opens in a panel on the right.
- Choose the Type.
- Enter a Name, for example "Harness #4", "IRATA L2" or "Ute ABC123".
- Optionally choose a Person, a Tag, rego or serial, an Expires or due date, how often it Repeats every (months), and any Notes.
- Tick Critical if losing this item would stop work. When it expires, the person can't be assigned to jobs until it is renewed.
- Select Add item.
To change an item, select its pencil button. The same panel opens with Save changes in place of Add item.
Record an inspection
For an item that repeats, select its tick button (Record inspection) to record today's date and move the due date on by that repeat. To record it for another day, open the More menu (the three dots) and select Record inspection on another date, then pick the day it was done.
Remove an item
Open the More menu beside an item and select Archive. The item leaves the register. It is not deleted.
If something goes wrong
- No items yet. Nothing has been added to the register. The office adds the first one.
