Site report templates and the nightly roundup

Provision the starter templates for each site report kind, customise their questions, and set who signs off.

Site reports come in five kinds: Pre-Start, Permit to work, Incident, Gear and End of Day. Each kind has its own template, built from a ready-made starter and customisable from here.

Before you start

Only the owner and admins can reach Settings, so only they can provision a template, edit its questions or change who signs off a report.

Provision a kind's starter template

  1. Open Settings → Site reports.
  2. Under the kind you want, select Create default template (End of Day and Gear name themselves, for example Create default End-of-Day template).

This creates the ready-made starter straight away. You can customise it afterwards, or leave it as it is.

Customise a template's questions

You can also reach any site report template from Settings → Form templates, where every template your crew fill in is listed in one table. Select a site report's name there to edit it in a panel.

  1. Under the kind, select Edit template.
  2. Add, remove or reorder questions, as with a custom safety form. Any of the five kinds can also include one Hazard assessment question, which lets the crew pick hazards from your hazard library.
  3. Select Save changes.

Publishing an edit creates a new version. Reports already filed keep pointing at the version they were signed against; only new reports use your change. To discard your customisation and go back to today's built-in starter, select Reset to built-in starter instead.

Set who signs off a report

On the template's edit page, under How this report is signed off:

  • Everyone on site must co-sign it. Turn this off and the report is the team leader's alone; the crew are never asked to sign and it's never held up waiting for them.
  • A manager must approve it before it is sent. Turn this off and every report of this kind goes out without a manager seeing it or approving it. For a permit to work, this is a safety document: turning approval off means work can be permitted before anyone in the office has seen it.
  • Email it to the customer when it is issued. Turn this off and the report stays inside the business: still filed, still on the job, and still in the customer portal if the customer has a login. Turn it on and it's emailed to the contacts marked to receive reports, whether or not a manager approves it first.

The nightly roundup

Each evening, ONYX1 emails a roundup of that day's reports, one secure link per job, with an in-app notification alongside it. Choose who receives it by turning Owner and Admins on or off under Nightly roundup.

If something goes wrong

  • A report kind with no template yet shows only the Create default button. Provision it first.
