Your first day on the tools
What you see when you sign in on site, how to clock in and out, why Clock in can be refused, and how to hand in your timesheet.
On this pageYour Home
On site, you start your time when you begin work on a job and stop it when you finish. Everything you clock ends up on your weekly timesheet.
Your Home
As a technician, contractor or site supervisor, Home is the crew view:
- The top card shows Not clocked in or On the clock, with a Clock in or Clock out button.
- My jobs today has a card for each job you're on today. Before you clock in, a card's Clock in button opens the clock. Once you're clocked in on that job, the card offers Add photo and Add comment.
- Coming up this week lists your next jobs, and My certs & gear lists your certificates and gear.
On an iPhone, the ONYX1 Home Screen or Lock Screen widget can show the same clock status and next job. It does not clock you in or out: tap it to open Clock in/out in ONYX1 and use the in-app control. If it says Open ONYX1 to refresh, open the app before relying on the displayed status.
Clock in
- Select Clock in on Home, or open Clock in/out from the menu.
- Select the job from the Job list, or No job for time that isn't on a job.
- Select Clock in.
Clocking in needs a signal. If you have none, clock in once you do, or add the time to your timesheet later with Add a line.
If your business records clock-in locations, ONYX1 asks for your location. It still clocks you in if the location fails. If the job has a site location and yours is more than 200 metres from it, allowing for your phone's accuracy, the clock-in is marked off site on Team, where the owner, admins, dispatchers and office staff can see it.
Clocking in on a job that's Scheduled, Pending or Incomplete moves it to On site. A New job stays New.
If Clock in is refused
- Sign the required safety form for this job before clocking in. Each person signs the form for themselves. Select Open the job, sign the form, then clock in.
- This job is waiting for the owner to approve its safety documents. Only the owner can approve them. Clock in on another job until then. The job isn't on your Home or in the Job list while it waits. If you open it from a link, its page says it's waiting for an owner to approve the safety documents.
- This job is finished. Pick another job, or ask the office to reopen it. You can't clock in on a Completed, Ready to invoice or Invoiced job.
- This job is archived. Restore it to make changes. Only the owner or an admin can restore a job, so ask one of them.
Photos and comments
If you're a technician or contractor, you can add photos and progress comments to a job only while you're clocked in on it, or later the same day. Otherwise there's no box for a progress comment, and the job's photos say Clock in to this job to add photos. If you're a site supervisor, you can add them at any time.
Clock out
- Select Clock out.
- Under Lunch / breaks today, select None, 15m, 30m, 45m or 1h, or type the minutes.
- Select Confirm clock-out.
If your timer runs past the hours your business sets, ONYX1 asks Still on site? Select Yes, still going if you are. If you finished earlier, enter your real finish time in the time box, select No, I finished at this time, pick your break and select Confirm clock-out.
Your timesheet
- Open Timesheets from the menu or the tab bar. Your page is called My timesheet.
- Check the week's lines. Each shift you clocked is a line. To correct a line, select Fix beside it and change the clock-out time, lunch or note. To add time you didn't clock, fill in Add a line and select Add line.
- Select Submit week for approval. Once submitted, the week's lines are locked.
If this week is sent back to you, it shows Sent back with the reason. Select Reopen, fix the lines and submit the week again. If an earlier week is sent back, open it under Past weeks to read the reason, and ask the office: only they can reopen an earlier week and hand it in for you.
If your business doesn't need timesheets from you, the page says You don’t need to submit timesheets. Any hours you clock are still recorded on your jobs.
