Schedule jobs and assign crew

Set a job's dates and who's on it from its own page, or plan several jobs and crews at once on the Planner.

On the job page

Only the owner, admins, dispatchers, office staff and site supervisors can schedule jobs and assign crew. Open the job and find its Schedule & dates and Assigned crew cards.

1. Under Schedule & dates, set the Start date. Start time defaults to 7:30 am; change it if the job starts at a different time. For work that runs more than one day, set an End date too.
2. Select Save dates.
3. Under Assigned crew, tick each person who is on the job.
4. To have someone on for only part of the job, use the From and to date fields that appear once they're ticked. Leave both blank and they're on for the whole job.
5. Select Save assignment.

If the job requires owner approval of its safety documents and they aren't approved yet, saving a date keeps the job in New rather than moving it to Scheduled; see Job safety documents and owner approval.

The Planner

The owner and admins also have the Planner, a whole-shop schedule for planning the week or month across every crew at once. Open Planner from the menu. It needs a desktop screen; on a smaller display it asks you to open it on a bigger one.

1. Choose Day by day or Month at the top.
2. Jobs are grouped by team. Undated jobs sit in the Unscheduled tray on the left.
3. Drag a job onto a different team's row to propose reassigning it, or drag it on the calendar to propose a new date. ONYX1 shows what's changing (for example, which team it's moving to) before you confirm.
4. Select a job to open it in the pane on the right, with its key details and dates. Select Open full job to go to the full job page.
5. Select Manage teams to create or edit the crews (teams) jobs are grouped by.

What happens next

Once a job has a schedule date, it appears on the Jobs hub's Schedule, Gantt and Map views, and in the Planner, for whoever can see those.
