How ONYX1 works

ONYX1 runs one loop for a trade business, from capturing a job to getting paid, and shows each person the part of it their role needs.

ONYX1 takes a job from the first call to the last payment without paper or a second app. The steps below follow one job from start to finish, with the control you use at each step.

Your Home view

Home changes with your role and the view you are using.

Business Home

On a wide screen, Business Home starts with today's date and a localised greeting. On a phone it starts with your business name and the date above the title Home. The cards keep the day in one place:

  • Needs you has one row for each kind of work that is waiting on you, such as timesheets, site reports, safety documents, unpaid invoices or open incidents. A row names the record when there is one, or gives the count when there are several, and has a button that opens it. Kinds with nothing waiting have no row. It shows the first five rows, then View all, and All approvals opens the approvals area.
  • Today lists each of today's jobs on one line, with who is on it and, on the right, when it starts or On site since a time. A job nobody is on shows not assigned and an Assign button, and a job that is blocked or waiting for safety-document approval carries its mark under the title. For owners and admins, Open planner opens the planner.
  • On the clock shows the people currently working.
  • Coming due lists, soonest first, certifications, vehicle and equipment expiries and inspections falling due in the next 30 days (and anything already overdue), next to upcoming jobs and recurring work. You only see the registers your role and your workspace's modules include. Certification, vehicle, equipment and recurring rows that are overdue, due today or due within 14 days are in amber. The list shows the six soonest.
  • On a wide screen, Your work, start to paid shows the loop as cards with an icon and a count: New leads (when the Sales module is on), Quotes waiting, To schedule, Ready to invoice and Owed to you. To schedule also shows this week's days, marked when a job is booked, with the next free working day. Large amounts are shortened, so thousands end in k and millions in m. Owed to you splits the total into Not due and Overdue. Each card opens the matching list. On a phone, Home shows four plain tiles instead: Ready to invoice, Owed to you, Quotes waiting and To schedule, each with its count and amount, and Owed to you shows how many invoices are overdue. Only the owner sees the Profit card, which shows the total invoiced without GST and the profit and margin across all time.

The cards scroll inside the Home view, so the app frame stays the height of your window. The greeting uses the business country setting. In New Zealand, a business user sees Morning, Afternoon or Evening with their name. Other countries use Hi.

Crew Home

Crew Home keeps the field day focused:

  • The clock shows whether you are on the clock and a live timer while you are working.
  • My jobs today lists your assigned jobs in order and includes directions where they are available.
  • The filing section shows what you still need to submit.
  • My certs & gear shows certificates and equipment due soon.

Crew Home does not show money, profit or company totals. In New Zealand, the greeting is Kia ora with your first name. The clock-in gate still applies when you start a job.

From first call to payment

  1. Capture the job. The owner, admins, dispatchers, office staff and site supervisors select + New, then Job. The menu only shows records that your role and enabled modules allow you to create.
  2. Quote it. On the job, select New quote for this job. Quotes and estimates are listed in the Quotes and Estimates tabs under Sales. A quote prints as a quote and an estimate as an estimate.
  3. Schedule it. On the job, set the day under Schedule & dates, select Save dates, then add people under Assigned crew. The schedule view under Work shows booked jobs on a calendar; select a day to list its jobs.
  4. Do the work. The crew clock in on the job under Clock in/out. Required safety checks and signatures can keep the clock-in gate closed until they are complete.
  5. Invoice it. On the quote, select Convert to invoice, or select + Invoice this job under Invoicing on the job.
  6. Get paid. On the invoice, select Record a payment for a part payment, or Mark paid once the invoice has been sent and the rest is paid. The Payments tab under Sales lists every payment you have recorded.
  7. Export clean data. The owner and admins download their data under Settings → Exports. Your NZBN and GST number print on every quote, estimate and invoice.

Job statuses

Every job shows one of these statuses: New, Scheduled, On site, Pending, Incomplete, Completed, Ready to invoice and Invoiced.

  • The owner, admins, dispatchers, office staff and site supervisors move a job between New, Scheduled, On site, Pending, Incomplete and Completed on the job page.
  • Saving a start date moves a New job to Scheduled. If your business has turned on the safety checks in Settings → Security, a job may first need an accepted quote or approved safety documents.
  • Clocking in on a Scheduled, Pending or Incomplete job moves it to On site. Clocking in on a New job leaves it New.
  • Only the owner, admins, dispatchers and office staff move a Completed job to Ready to invoice. Raising an invoice for a job that is Ready to invoice moves the job to Invoiced, and so does sending an invoice for a Completed job.
  • A job that is Completed, Ready to invoice or Invoiced is finished, and nobody can clock in on it.

What each person sees

  • The business view is for the owner, admins, dispatchers and office staff. Technicians, contractors and site supervisors get the crew view. A person who has both views can switch between Business and Trade.
  • Quotes, estimates, invoices and payments are for the owner, admins, dispatchers and office staff. Site supervisors, technicians and contractors never see them.
