Work on a job: documents, photos and notes

Use the job's tabs and Overview quick adds to read records, add photos, post progress and follow the work safely on site.

Open a job to see its records and actions. The job opens on Overview, where you can see what needs attention, today's reports, progress, quick adds and a short job summary. Working jobs also have editable schedule and crew controls in Work.

Read the job header

The header keeps the job identity together: use All jobs to go back, then read the job number, status, priority, title, customer, site, dates and crew. A site is shown only when one exists. Due and Trade are in Job details; if a job has no site yet, that card says No site yet and eligible business users can select Add site.

The lifecycle is the single progress track below the identity. Completed steps are solid, the current step includes its percentage when available, and future steps are muted. Work, Safety and Files show counts when records are present. In Job details, Customer PO appears only when the owner or an admin has recorded a customer purchase order for the job. If there is no customer PO data, the row is omitted.

On a working job, the bottom of the Overview main column can show Nothing yet with + Variation, + Purchase order, + Material used and + Form. Only actions available to your role and this job appear. Assigned crew can use + Material used to request materials and add receipts; the owner and admins can use + Purchase order for the customer's paperwork. Finished or archived jobs do not show this row.

Find the record you need

Use the job tabs to keep each kind of information together:

  • Overview shows needs-attention items, today's reports, progress and the job summary.
  • Work shows the schedule and crew summary, scope, phases, photos, progress notes, variations, materials, purchase orders, parts and customer sign-off.
  • Safety shows safety documents, approval status, forms, incidents and report recipients when your role allows them.
  • Money shows quotes, invoices, purchases, costs and expenses for business roles. Field roles do not see this tab.
  • Files collects job documents and report PDFs.
  • History shows the activity record for business roles.

Records are shown as rows or cards once they exist. An empty section is one line with an Add action on a working job. Select it to open a side panel on a computer or a bottom sheet in the app. Android uses a Material bottom sheet with a handle; iPhone keeps the iOS sheet treatment. Nothing is lost by leaving a sheet unfinished.

Edit the schedule and crew

The Schedule and crew card keeps the current booking and assigned people together. It shows the booked dates, start time, projected start when one exists, each person's work window and the team leader.

  1. On a working job, select Edit schedule to change the start date, start time or optional end date. Select Clear to remove the booked dates. A projected start can be saved or cleared in the same sheet while the job is not booked.
  2. Select Edit crew to search the field crew and tick the people assigned to the job. Select Show office staff when an office person also needs to be assigned.
  3. For each ticked person, set From and To when they are only working part of the job. Choose the Team leader, then select Save crew.

The existing safety, compliance and scheduling checks still apply when you save. A finished job is read-only: the card shows "This job is finished. Reopen it from More to make changes." and does not show these edit buttons.

To change the job title, customer, dates such as Due or Follow-up, or the customer sign-off rule, open Edit details. The sign-off rule is in that sheet under Customer sign-off before invoicing.

Safety documents and forms

Open Safety to read the job's SSSP, Rescue Plan and other PDFs. Select View or Download on a document. Adding, replacing or removing documents, and owner approval, are covered in Job safety documents and owner approval.

Safety forms are also under Safety. Select Fill in to open a form sheet, complete the fields and select Sign off. A saved form appears as a record, including who approved or signed it and when. A form field upload has its own error and retry control, separate from queued job photos.

Add a photo

  1. Open Work, then Photos, and select Add photo. On a phone, select + and then Photo.
  2. Choose Take photo or Choose from library. The library picker can add more than one photo.
  3. Add a Caption if you want one, then select Add photos.

ONYX1 prepares each photo before it uploads. If a photo cannot be prepared or a live upload is refused, the notice names it and gives the reason. Select Retry for a temporary upload failure, or use a smaller or supported copy for a permanent failure. With no signal, the photo stays on the device and queues through the normal upload path.

Only an owner or admin can remove a site photo. Select the ✕ on a photo to remove it without a confirmation step.

Share a job's photos with your customer

A customer's portal does not show a job's photos unless you choose to share them. Open Work, then Photos, and turn on Share photos with the customer. From then on, a customer who has portal access to that job sees its site photos. Photos that came from a form, and signatures, are never shared. Turn the switch off again at any time and the photos disappear from their portal. The owner, admins, dispatchers and office staff can change it; nobody else sees the switch.

Post a progress update

  1. Open Work, then Progress, and select Add update. On a phone, select + and then Progress note.
  2. Write what you got done and add a % complete if you want one.
  3. Select Add update.

An empty update is refused with "Write a short update." A percentage outside 0 to 100 is refused with "% must be 0–100." Once posted, an update cannot be edited or removed. The most recent update with a percentage sets the progress bar.

Move a phase along

If the job has named phases, open Work and update a phase's percentage. It saves as soon as you release the control. Adding, renaming, reordering or removing a phase is for your manager.

Start today's reports

On a working job, select + Start a report on Overview to see each report's status for today. Choose Start report for a new report or Continue report for a draft. The report opens in a sheet, and your answers save as a draft as you work.

On a phone, the same list is under +. It also includes Expense or receipt, Form, Incident or near miss and Safety check. Each action opens its existing workflow and keeps the same clock-in and offline rules. In Work, Materials & receipts is for crew requests and receipts for materials. In Money, Add expense is for recording a cost against the job.

Finished jobs do not show report-start actions, but their existing reports, PDFs and history stay available. A report that is already waiting for approval can still be approved or sent back by a user who has that permission.

Clock in and out

Use Clock in or Clock out in the job header on a computer, or the bottom bar in the app. Finished jobs cannot be clocked into until the office reopens them. The clock-in gate and location handling are unchanged. See Clock in and out for breaks, long shifts and required safety forms.

Once a job is Completed, Ready to invoice or Invoiced, there is no more field work to log against it: Clock in and Add photo no longer appear in the header.

Reopen a finished job

The owner, admin, dispatcher, office or site supervisor can open More and select Reopen job on a completed or ready-to-invoice job. ONYX1 shows a confirmation before it changes the job, and reopening clears its finished status and returns it to On site, so the schedule and crew can be changed again.

An invoiced job can only be reopened once its invoice has already been voided, and only the owner, admin, dispatcher or office can do it (not a site supervisor). Once the invoice is void, More shows Reopen to Ready to invoice instead; confirming it returns the job to Ready to invoice, which needs invoicing again.
