Review and approve timesheets

Read the Team view of everyone's hours, clear the pay run from the approval queue, and approve or send back one sheet at a time.

Only the owner, admins, dispatchers and office can see and approve other people's hours. This is money-free: hours and minutes only, never a pay rate or a dollar figure.

Before you start

Open Timesheets. The Team tab is where you land by default; My timesheet is your own week, covered in Your timesheet.

The Team tab

  • On the clock now lists who is working right now. If someone's device died mid-shift, an owner or admin can select Clock out… on their row, give a reason, and close it for them; they see your name and reason on their own timesheet afterwards.
  • Awaiting approval lists submitted weeks waiting on a decision. If a period has closed and some people haven't handed a week in at all, the section names them and links to the company register to hand one in for them.
  • Company hours by week charts the shop's hours over the last 12 weeks; Hours per person charts the last completed week only, one bar per person.
  • The Company register is a week-by-week wall: one row per person, a coloured strip for the week (fuller means more hours; violet marks approved leave; an amber corner marks a flagged day), and a status. Select a row to open it and see the days, any flags, and Open full sheet or Hand in for them if they haven't submitted.
  • Export to iPayroll (CSV) lets you pick a pay-run date range and download the categorised hours (iPayroll works out the pay). It warns first if any active team member has no iPayroll ID set at all (this list doesn't change with the date range), or if a sheet within the chosen range isn't approved yet, so leaving someone out is a decision, not an accident.

The approval queue

Select Approve timesheets to open /timesheets/approve, the period that just closed. Sheets with nothing flagged can be cleared together with Approve the N clean ones; the app rechecks each one first and tells you if anything changed since you looked. A sheet with something to look at shows N to look at; select Open the week to read it.

Reviewing one week

On a person's timesheet, select Approve, or Reject… to send it back with a required reason so they know what to fix. You can't approve your own timesheet or anyone else's on your own behalf; only they, or another approver, can act on it.

If a flag says the crew's hours on a job don't match, select Compare on the job to see everyone's hours on that job and day on the same scale. Accepting a flag with I've looked at this doesn't change anyone's hours; it just clears it from the list of things still needing a decision, so a sheet with an explained flag can still be approved in bulk.

If someone has left, or can't act on their own week, use Hand in for them or Reopen for them from their timesheet; your name is recorded against it.

Your own week

Nobody else signs off an owner's pay, so a clean week you submit approves itself. If it carries a flag, it waits until you read the flags and select the confirm button, which names how many you've checked (or, with none left to check, reads Approve my period).
